The Role: How you'll make an impact at Personio

The ideal candidate is based in Munich

As a Proposal Manager at Personio, you will be responsible for managing and delivering  compelling strategically aligned proposals that effectively communicate Personio’s solutions to prospects. Acting as the central point of contact for the entire proposal / tender / RFx process, you will handle everything from requirements analysis to final submission. You will work closely with the sales, legal, deal desk, security and product teams to ensure proposals are tailored to meet the specific needs of each prospect, highlighting the unique value propositions of Personio. 

Role Responsibilities: What you'll do

Proposal Management and Strategy

  • Manage the end-to-end bid process, including RFX analysis, timeline creation, and stakeholder coordination.

  • Develop clear bid strategies that address customer requirements and highlight Personio’s strengths.

  • Assess risks and opportunities associated with bids and adapt content accordingly.

Proposal Development

  • Conduct research autonomously, gathering all necessary information to respond to RFXs and other bid formats.

  • Review RFPs to identify requirements, create comprehensive submission lists, and collaborate with cross-functional teams to gather information and insights necessary.

  • Write, edit, and format proposals to ensure clarity, coherence, and persuasiveness.

  • Customise proposals to align with the specific requirements and objectives of each prospect.

Content Strategy and Management

  • Develop a deep understanding of Personio’s products, services, and market positioning to effectively communicate value.

  • Ensure all submissions are precise, compliant, and reflect Personio’s messaging .

  • Maintain a library of proposal content, ensuring it is up-to-date and reflective of current offerings and market trends along with best practices.

  • Continuously refine proposal templates to improve efficiency and effectiveness.

Collaboration and Communication

  • Work closely with sales teams to understand prospects' needs and tailor proposals accordingly.

  • Coordinate with product teams to incorporate the latest product information into proposals.

  • Organise kick-off meetings and regular updates to keep all stakeholders aligned throughout the bid process.

Measures of Success

  • Proposal win rate.

  • Timeliness, quality and accuracy of proposal submissions.

  • Feedback from sales and customer facing teams on proposal quality and effectiveness.

Role Requirements: What you need to succeed

  • Experience in proposal writing, bid manager or in bid management in Consulting or SaaS.

  • Experience in managing RFPs, Public tenders and proposal writing.

  • Exceptional writing and communication skills in German and English.

  • Strong analytical skills and attention to detail.

  • Strong organisational skills with the ability to manage multiple projects simultaneously.

  • Ability to work collaboratively with cross-functional teams.

  • Knowledge of tools for RFP management is a plus

  • Native-level German and professional English proficiency are required.
